SHIPPING AND DELIVERY POLICY
Version 1.0 – Effective Date: 17 June 2026
This Shipping and Delivery Policy (“Policy”) applies to all orders placed through www.vibetronix.co.za and sets out the terms on which Vibetronix (Pty) Ltd (“Vibetronix”, “we”, “us”, “our”) arranges the delivery of products to customers. By placing an order with us you agree to the terms of this Policy.
This Policy must be read together with our Terms and Conditions and Privacy Policy, all of which are available on our Website.
1. Order Processing
All orders are subject to acceptance and stock availability. Once your order is received, we will confirm acceptance by email. Vibetronix reserves the right to cancel or decline any order at its discretion, including where a product is out of stock or where a pricing error has occurred. In such cases, any payment received will be refunded in full.
Orders are generally processed on business days (Monday to Friday, excluding South African public holidays). Orders received after business hours or over weekends will be processed on the next business day.
2. Domestic Shipping (South Africa)
2.1 Shipping Quotation
We deliver throughout South Africa using our preferred courier service. Shipping costs are not included in the product price and will be calculated and quoted to you individually based on the size, weight, and destination of your order. You will receive your shipping quote before payment is finalised. Shipping costs are payable in South African Rand (ZAR) and are inclusive of VAT at the prevailing rate.
2.2 Delivery Timeframes
Once your order has been dispatched, standard courier delivery to most main centres in South Africa typically takes 2 to 5 business days. Delivery to outlying or remote areas may take longer.
However, please note that total fulfilment time from the date of order confirmation may be up to 14 (fourteen) calendar days, depending on stock availability at the time of ordering. Where a product is not immediately available, we will notify you of the anticipated dispatch date as soon as possible after your order is placed.
Please note: All delivery timeframes are estimates only and are not guaranteed. Vibetronix will not be liable for any loss or damage arising from a delay in delivery, including delays caused by the courier, adverse weather, load shedding, industrial action, or other circumstances beyond our reasonable control.
2.3 Delivery Address
It is your responsibility to ensure that the delivery address provided is accurate and complete. Vibetronix will not be liable for non-delivery or delayed delivery resulting from an
incorrect or incomplete address. Any additional costs incurred due to a failed delivery as a result of an incorrect address will be for your account.
2.4 Risk and Ownership
Risk in the goods passes to you upon delivery to the address specified in your order. Ownership of the goods remains with Vibetronix until full payment has been received.
3. International Shipping
Vibetronix does not offer standard international shipping through the Website checkout. We do not ship to destinations outside the Republic of South Africa as part of our standard fulfilment process.
Customers requiring delivery to an international destination must:
• contact us by email before placing an order at [To be completed – insert email address] to discuss your requirements and confirm whether international supply is possible; and
• arrange and pay for all international freight, insurance, customs duties, import taxes, and any other charges applicable in the destination country entirely at their own cost and risk.
Important: Do not place an international order through the Website before receiving written confirmation from Vibetronix. Orders placed without prior arrangement will be cancelled and refunded, less any applicable processing fees. Vibetronix accepts no responsibility for any costs, losses, or delays arising from an unarranged international shipment.
Vibetronix is not responsible for compliance with the import regulations, product standards, or certification requirements of any country other than South Africa. It is the customer’s sole responsibility to ensure that the products may lawfully be imported into the destination country.
4. Order Tracking
Once your order has been dispatched, we will send you a dispatch notification by email. Where tracking information is available from our courier partner, this will be included in the dispatch notification so that you can monitor the progress of your delivery.
If you have not received your order within the estimated timeframe, please contact us at the details set out in section 7 below and we will assist in following up with the courier.
5. Return Shipping and Handling
5.1 Return Shipping Costs
Unless a return arises from a defect or error that is the fault of Vibetronix (as determined at our reasonable discretion), all costs of returning goods to Vibetronix are for the buyer’s account. This includes courier or postal charges, packaging, and insurance. Vibetronix does not provide prepaid return labels.
We recommend that you use a traceable and insured courier service for all returns. Vibetronix will not be responsible for goods lost or damaged in transit back to us.
5.2 Handling Fee
A handling fee of10% (ten percent) of the value of the returned goods (exclusive of VAT) will be deducted from any refund or credit due to you. This fee covers the cost of receiving, inspecting, testing, and reprocessing returned goods.
The handling fee will not apply where:
• the goods are found, upon inspection, to be defective due to a manufacturing fault covered under our warranty; or
• Vibetronix sent you incorrect goods as a result of our own error.
5.3 Return Process
Before returning any goods you must obtain a Return Authorisation from us by contacting us at the details in section 7. Returns received without prior authorisation may be refused. Goods must be returned:
• in their original condition and packaging where reasonably possible;
• with all original accessories, documentation, and components included; and
• accompanied by proof of purchase.
Once returned goods are received and inspected, we will notify you of the outcome within 5 (five) business days. Approved refunds will be processed within 15 (fifteen) business days of approval using the original payment method where practicable.

6. Goods Damaged or Lost in Transit
If your order arrives visibly damaged, you should:
• note the damage on the courier’s delivery record before signing;
• photograph the outer packaging and the damaged item before unpacking further; and
• contact us within 48 (forty-eight) hours of delivery at the details in section 7, providing your order number and photographs of the damage.
Failure to report transit damage within 48 hours may affect your ability to claim. Vibetronix will assess the claim and, where damage is confirmed to have occurred during transit and not after delivery, will arrange for repair, replacement, or refund at our discretion.
If your order is confirmed as lost in transit, please notify us as soon as reasonably possible. We will lodge a query with the courier on your behalf and, subject to the outcome of that investigation, arrange a replacement or refund where appropriate.
